PROGRAM COORDINATOR

THE OPPORTUNITY
The Program Coordinator will be a full-time employee, working with Pahara’s Design & Delivery Team for a one-year term of employment.

The Program Coordinator exercises discretion and independent judgment to lead and execute operations systems and procedures, producing high-quality, transformational development opportunities for Pahara Fellows in a values-aligned way. This work includes pre-planning and preparation, serving as the onsite lead for logistics and operations support during events, and post-event debriefing.

The Program Coordinator establishes, implements, monitors, and refines clear, efficient, values-aligned systems and processes that foster the team’s ability to meet its goals in an environment of continuous learning, authenticity, and vulnerability.
Sample goals for this role:

Receive and maintain a minimum of 90% "good" or "excellent” logistics ratings from program participants, reflecting execution of all operational aspects of assigned events, including creation of work plans, leading onsite operations during events, and wrapping up after events.

Collaborate with teammates on implementing and improving systems to support the execution of multiple work streams, while maintaining a minimum of 90% "good" or "excellent" logistics ratings from program participants.

Streamline and standardize logistics and operations for programs and events so the Design & Delivery Team has 25% more capacity to deepen Pahara’s impact as we scale.
High-level summary of work areas and responsibilities:

Logistical planning and preparation prior to events
-
Partner with Lone Rock to host programs for the Pahara network, including disseminating a list of attendees and event/programming information to the Lone Rock Team.
-
Use independent judgment to build relationships and collaborate with event-specific operational vendors, considering the unique circumstances of each vendor to initiate, maintain, and ensure clear communication and expectations.

Build and maintain up-to-date travel itineraries and transportation logistics.
-
Create and finalize banquet orders, rooming lists, and additional event documentation.
-
Recommend updates to standardized forms that are routinely used for programming.

Independently create and manage work plans, identifying potential knots across workstreams and keeping them updated to reflect real-time work.

Plan and contribute to internal and external meetings about event logistics and program design.

Creation and preparation of program materials
-
Draft, edit, and print hard copy program materials; compile reading packets; and ship materials to program attendees and participants.

Obtain copyrights for all individual readings each time they are used for events; this includes identification of the copyright holder, updating the copyright database, completing payment, and ensuring all readings correctly reference copyrights in footnotes.

Produce and organize all onsite materials for programs.

Manage the process to research, purchase, compile, and distribute (onsite or by mail) gift boxes and other special program materials.

Collaborate with the Design & Delivery Team on agenda preparation and production before events.

Communication with Fellows and moderators
-
Send logistics emails to Fellows ahead of programs, and respond to their questions or requests.

Orchestrate travel arrangements, plan and prepare for meetings, and set up prep and debrief meetings with moderators.

Review and approve Fellow and moderator reimbursements and vendor invoices, post-event.
-
Serve as a general point of contact for Fellows, via the network inbox, post-Fellowship.

Lead and support roles during programs at Lone Rock
-
Work closely with Lone Rock staff while onsite to make sure their needs, as well as the needs of Fellows, are met.

Host and provide guidance to vendors on campus.

SPECIFIC QUALIFICATIONS, SKILLS, AND CERTIFICATIONS
Required Skills:

Event planning and project management experience, specifically experience in hospitality and/or event planning for groups of 30 or larger

Enthusiasm for multi-day travel, approximately two times per month, to Bailey, CO

Experience working in CRM applications (like Salesforce), Google Suite applications, Microsoft Office, and project management applications (like Asana)
ADDITIONAL DETAILS

Who: The Program Coordinator reports to the Design & Delivery Team’s Executive-In-Residence.
-
Where: Lone Rock, our campus in the Denver area, serves as a hub for our work and as the main location for all in-person events. While we are a virtual organization by design so our team can work where they have built their lives, to be effective in this role, the team member should be Colorado-based and is expected to be on campus at Lone Rock approximately two times per month.

Additional Working Conditions: Must be able to remain in a stationary position 50% of the time at a higher altitude while on campus. Occasionally move boxes weighing up to 30 pounds for various needs. Seminar days often begin early and end late, so the team member should be able to commit to an unconventional schedule during seminar weeks (as opposed to a typical 9am-5pm schedule).

How Much: Pahara provides competitive compensation and an attractive benefits package, including full health care coverage and access to a 401(k) account with a matching contribution policy. The expected salary range for this position is $50,000.00 to $61,000.00.
