EXECUTIVE ASSISTANT

OVERVIEW

The Pahara Institute’s mission is to provide transformative development opportunities for American education leaders. POSITION

The Executive Assistant will provide high-level, confidential administrative and clerical support to the CEO and the other four members of Pahara’s Leadership Team. They will spend approximately 25% of their focus supporting the administrative and clerical needs of the CEO, 65% of their focus supporting the administrative and clerical needs of four Senior Vice Presidents, and 10% of their focus on other initiatives and special projects to ensure that Pahara achieves its objectives. Specific duties include, but are not limited to:

 

Support the Leadership Team (CEO + four Senior Vice Presidents)

  • Optimize and schedule the CEO’s calendar based on key organizational priorities and her individual needs;

  • Serve as an intermediary between the organization’s external contacts and leadership team as requested, to handle information, scheduling requests, and communication follow-up for individual leadership team members and for the organization; 

  • Create a seamless travel experience, including scheduling travel, anticipating leadership team members’ travel needs and preferences, and completing expense reports for reimbursement; and

  • Prepare correspondence and proofread a wide variety of written materials (e.g.: letters, emails, agendas, marketing material, funder reports, etc.) for a diverse array of internal and external audiences. 

Special Projects and Organizational Coordination

  • Maintain a full team calendar across the organization, including scheduling all organization-wide meetings and events;

  • Lead special projects that involve internal and external stakeholders;

  • Serve as the behind-the-scenes facilitator of video conferencing software to ensure internal team meetings run smoothly with break-out rooms, polls, screen sharing, and other features as requested;

  • Schedule, take notes, and track to­-dos for department meetings;

  • Maintain comprehensive and updated department work plans and proactively flag any risk of missed milestones to Special Projects and Administrative Coordinator; 

  • Keep all department documents up to date and accurately filed; and

  • Other duties as assigned.

Program Logistics

  • Serve as support staff person for events as-needed throughout the year, including:

    • Coordinating aspects of pre-event preparation, including preparing and sending materials, securing copyrights for readings, corresponding with program participants, and organizing all tech systems to host the event, if necessary;

    • Supporting onsite logistics, including being point of contact for all program participants and facilitators while onsite for events;

    • Scheduling & booking transportation to/from airports and lodging for participants where necessary; 

    • Serving as the behind-the-scenes facilitator of video conferencing software to ensure virtual events run smoothly with surveys, break-out rooms, screen sharing, poling, etc.; and

    • Interacting with individuals and groups in a way that nurtures their mutual commitment to dialogue and generating solutions.

Compelling candidates will have:

  • At least 2 years of experience supporting teams or multiple senior managers in an administrative capacity; 

  • Exceptional organizational skills, acute attention to detail, and proven ability to follow-through;

  • Maturity and the ability to thrive and work independently and virtually in a fast-paced environment while maintaining humor and strong relationships;

  • Expert at organizing time and priorities both for self and for executive(s);

  • Strong written and verbal communication skills;

  • A proven track record of interacting at multiple levels within an organization and the ability to build strong working relationships and accountability with external organizations; 

  • A high level of integrity and accountability, demonstrated through sound judgment and actions; 

  • Experience with event logistics, providing excellent logistical support to program participants, and exceptional organizational skills and attention to detail; and

  • Proficiency in Microsoft Office and Google applications, Salesforce or other CRM platform, and the ability to type at least 60 WPM.

REPORTING RELATIONSHIPS

The Executive Assistant will report to the Special Projects and Administrative Coordinator.

COMPENSATION

Pahara provides competitive compensation and an attractive benefits package, including full healthcare coverage for employees, flexible vacation, and access to 401(k) accounts with a matching contribution policy. Expected starting salary range for this position is $60,000-$70,000.

LOCATION

We are a virtual organization by design so that our people can work where they have built their lives. Our campus in Bailey, Colorado will serve as a hub for our work and as the main location for all in-person events. This position must be able to travel for week-long trips, primarily to Bailey, Colorado.
