EXECUTIVE ASSISTANT

THE OPPORTUNITY
-
The Executive Assistant will provide high-level, confidential support to the Chief Executive Officer, stewarding Pahara’s organizational culture and embodying our core values.
-
The Executive Assistant will support initiatives and special projects envisioned by the Chief Executive Officer and led by the Executive Team.
Sample goals for this role:

The CEO’s calendar is organized and well-managed, and the CEO’s time is protected in alignment with key organizational priorities and goals.
-
Because of the Executive Assistant’s support, the CEO is able to plan and forecast 6 months to 1 year out.
-
Systems are put in place and implemented with fidelity in order to increase clarity and alignment for the CEO, within the Executive Team, and across the organization.
High-level summary of work areas and responsibilities:
-
Administrative Support to the CEO (80%)
-
Optimizing and scheduling the CEO’s calendar, based on key priorities and her individual needs;
-
Creating and maintaining effective and transparent systems to organize the CEO’s deliverables across the organization;
-
Creating a seamless travel experience for the CEO, including scheduling travel, anticipating CEO’s travel needs and preferences, and completing expense reports for reimbursement;
-
Serving as an intermediary between the organization’s contacts and the CEO, as well as handling information, meeting requests, and communications follow-up for her and for the organization;
-
Collaborating proactively with other team members to ensure that the CEO is well prepared for meetings and that she and other key participants have requisite and relevant background information; and
-
Preparing correspondence and proofing a wide variety of written materials (e.g., letters, emails, etc.) for a diverse array of internal and external audiences.

Special Projects and Initiatives (20%)

Supporting the planning, execution, and follow-up for monthly Leadership Team meetings;
-
Supporting the CEO and Manager of Strategic Initiatives in preparing for board meetings, and engaging appropriately with board members in between board meetings; and
-
Serving as a critical team player on special projects, such as performing research and analysis on specific issues, and preparing briefings, memos, or presentations to communicate findings.

Experience working in Google Suite applications, Microsoft Office, and project management applications (like Asana)
ADDITIONAL DETAILS

Who: The Executive Assistant reports to the Manager of Strategic Initiatives.
-
Where: We are a virtual organization by design so our team can work where they choose to build their lives. Lone Rock, our campus in the Denver area, serves as a hub for our work and as the main location for all in-person events. Team members who live outside the Denver area will periodically have overnight travel to Lone Rock.

Additional Working Conditions: Each year, team members have the opportunity to witness and learn more about our programming by providing operations support at Lone Rock. When you offer operations support, you must be able to remain in a stationary position 50% of the time at a higher altitude while on campus and occasionally move boxes weighing up to 30 pounds for various needs. Seminar days often begin early and end late, so team members should be able to commit to an unconventional schedule when they offer support during programming (as opposed to a typical 9am-5pm schedule).

Late September: Candidates will be selected to participate in a first interview.

Late September to Early October: First interviews will take place.

Mid-October: Finalists will participate in a final interview/hiring exercise presentation with additional members of the Pahara Team. Pahara will ask selected finalists to provide three references.

Late October: Offer extended.

Early November to mid-November: Start date.

How Much: Pahara provides competitive compensation and an attractive benefits package, including full health care coverage and access to a 401(k) account with a matching contribution policy. The expected salary range for this position is $50,000.00 to $55,000.00.
