PROGRAM COORDINATOR

POSITION

The Program Coordinator will play a vital role in managing our on-site program operations and building and maintaining relationships with our core vendor partners. The successful candidate will provide oversight and support for week-long events at our Bailey, Colorado campus. This position will serve as the operations point person on the ground and will require strong event experience, ability to build strong working relationships, a positive attitude during a period of ambiguity and scale, and the ability to be comfortable in front of groups.

The  Program Coordinator is expected to support our program operations in the achievement of the following:

Program Logistics

  • Support Director of Operations, Strategy and Program Managers to ensure excellent preparation for all events;

  • Orchestrate virtual and in-person event experiences that inspire, challenge, and deepen community amongst participants;

  • Coordinate all aspects of on-site pre-event preparation at our campus, including:

    • Booking and coordinating guest room and meeting room reservations with the venue;

    • Scheduling transportation to/from airports and lodging for participants; 

    • Organizing all tech systems necessary to host the event;

    • Coordinating and approving all food and beverage orders with the venue to ensure we meet all participants’ dietary restrictions; 

    • Ordering and maintaining on-site event supplies; and

    • Serving as the main point of contact for event vendors.

  • Lead onsite logistics in collaboration with Program Managers, including:

    • Serving as a point of contact for all program participants, Pahara staff, and facilitators while onsite for events;

    • Liaising between program participants, Pahara staff, facilitators, and our vendors;

    • Ensuring event requirements are met by vendors; and

    • Troubleshooting and reacting as necessary to changing needs and requests during events. 

  • Serve as the behind-the-scenes facilitator of video conferencing software to ensure virtual events run smoothly with surveys, break-out rooms, and screen sharing;

  • Lead the sourcing, ordering, packaging, and mailing of all event-related packages, including care packages for participants and promotional merchandise;

  • Prepare, proofread, print, and send documents for all events, such as reading booklets, handouts, nametags, etc.; 

  • Manage up to Director of Operations, Strategy and Program Managers to help ensure quality expectations and budget goals are met or exceeded for each seminar or event; and

  • Interact with individuals and groups in a way that nurtures their mutual commitment to dialogue and generating solutions.

Organizational Support

  • Schedule, take notes, and track to­-dos for department meetings;

  • Maintain comprehensive and updated department work plans;

  • Proactively flag any risk of missed milestones to Program Managers and the Director of Operations, Strategy; 

  • Keep all department documents up to date and accurately filed, and assist with detailed and high-quality review of documents; and

  • Other duties as assigned.

Compelling candidates will have:

  • Experience with event logistics, providing excellent logistical support to program participants, and exceptional organizational skills and attention to detail;

  • Independent project management experience;

  • Enthusiastic and problem-solving attitude with a customer-service mindset;

  • A proven track record of interacting at multiple levels within an organization and the ability to build strong working relationships and accountability with external organizations; 

  • Strong written and oral communication skills;

  • Ability to handle confidential information, and an understanding of the issues around participant confidentiality;

  • Fully vaccinated against COVID-19 or willing to get vaccinated before being on-site for events;

  • Enthusiasm for traveling frequently for week-long trips, approximately 50% of the time to Bailey, Colorado; and

  • Proficiency in Microsoft Office and Google applications, Salesforce or other CRM platform, and the ability to type at least 60 WPM.

The Program Coordinator will report to the Director of Operations, Strategy

COMPENSATION

Pahara provides competitive compensation and an attractive benefits package, including full healthcare coverage for employees, flexible vacation, and access to 401(k) accounts with a matching contribution policy. Expected starting salary range for this position is $55,000-$65,000.

LOCATION

We are a virtual organization by design so that our people can work where they have built their lives. Our campus in Bailey, Colorado will serve as a hub for our work and as the main location for all in-person events. This position must be local to Colorado with the ability to travel 50% of the time for week-long trips, primarily to Bailey, Colorado.
