FELLOWSHIP COHORT REUNIONS

At Pahara, we want to realize our potential impact as a network and generate what we’re calling “Network Effect”. On that note, we are thrilled to offer cohorts the opportunity to reune at Lone Rock Retreat.

 

For 2022, cohorts can begin booking as soon as February 1. Priority booking windows will be given to cohorts based on 2021 Network Survey participation rates. Please review all the information on this website and send any questions to network@pahara.org

PLANNING YOUR REUNION

The coordination and execution of reunions is Fellow-led and should be a communal effort with tasks shared across the cohort. A good practice is to rotate ownership each year to two or three members of the cohort to serve as the lead reunion coordinators.

  • The cohort should select a reunion planning committee.

  • The cohort should identify a date that maximizes attendance at a reunion. Please note that room and board is complimentary only if 50% or more of the cohort attends the reunion.

  • The cohort should confirm the date with Pahara (via email at network@pahara.org), if the date is available, Pahara will then connect the planning committee with Lone Rock Retreat to secure the date and coordinate additional details such as securing space, creating your menu, and assigning your cabins.

  • The cohort should draft an agenda between Friday 2pm MT - Sunday 12 pm MT

    • Include one Pahara directional update for 30 mins on Friday at 5 pm MT. This discussion will be facilitated by a Pahara team member. 

    • Optional cross-cohort 60 mins happy hour on Sat at 5:30 pm MT. There may be up to three cohorts hosting a reunion at Lone Rock on the same weekend. This cross-cohort happy hour will provide some space for expanding your Pahara network. 

  • The cohort should select a ground transportation company for travel to Lone Rock and coordinate a reunion transportation schedule. There are two companies that Pahara has worked with listed in the Lone Rock Reunion Guide

  • The planning committee should coordinate communication to reunion participants.

  • The cohort should review the latest COVID policies. As changes will likely be necessary, we ask that you review guidelines three week prior to your reunion to understand the latest policies on pre-arrival requirements.

SUBSIDY
DETAILS AND QUALIFICATIONS

We are thrilled to offer all cohorts complimentary room and board for reunions at the Lone Rock Retreat. To qualify for these subsidy funds, the cohort must meet the following guidelines:

  • Cohorts must host their reunion at the Lone Rock Retreat;

  • Cohorts must have 50% or more of their Cohort present to be awarded funding;

  • Cohorts must adhere to Lone Rock's vaccination policy and Pahara's COVID 19 practice and protocols. Pahara will continue to monitor CDC and local guidance and will finalize policies several weeks prior to your reunion;

  • Every Cohort member attending must have submitted all requirements for Pahara (i.e. updated contact information, proof of COVID vaccinations and results of pre-travel test);

  • Every Cohort member will be responsible for their travel expenses to the Lone Rock Retreat, this includes flights and ground transportation to Lone Rock. Lone Rock will cover the cost of TWO shuttles for Fellow’s departure; and

  • All participants submit survey feedback to Pahara about their reunion experience.

Pahara pays a deposit to hold these weekends, please be mindful and confirm your cohort’s plans to hold your reunion at Lone Rock 90 days in advance to help Pahara avoid accruing cancellation fees.

SCHEDULING YOUR REUNION AT LONE ROCK RETREAT

Please use the dates below to see the weekends in 2022 that are available for reunion reservations at Lone Rock. Priority scheduling will be based on 2021 Network survey completion rates, the four booking windows include:

  • GROUP A COHORTS:

    • Cohorts with more than 85% completion rate on the survey, who did not visit Lone Rock in 2021

    • Booking window starts February 1, 2022

  • GROUP B COHORTS:

    • Cohorts with more than 70% completion rate on the survey, who did not visit Lone Rock in 2021

    • Booking window starts February 10, 2022 

  • GROUP C COHORTS:

    • Open to all cohorts who have not had a cohort reunion at Lone Rock

    • Booking window starts February 17, 2022

  • GROUP D COHORTS:

    • Any cohort that came to Lone Rock in fall 2021

    • Booking window starts February 24, 2022

 

Not sure where your cohort falls? See the 2021 Pahara Network Survey cohort ranking here. Group A includes any cohorts ranked 9, 11 - 16, Group B includes cohorts ranked 18 - 30, and Group C includes cohorts ranked 31 - 37. Cohorts can select their reunion weekend on a first come first serve basis once their booking window has begun. 

 

Pahara will release holds on weekends 90 days in advance if no cohort has expressed interest in that weekend. This is to avoid Pahara paying Lone Rock’s cancellation fees. Once the cohort has selected a weekend that will maximize attendance, Pahara will confirm availability and connect the reunion planning committee with Lone Rock’s general manager.

These dates in 2022 are currently being held for reunion gatherings. Our preference is based on Lone Rock availability and Pahara holds.

  • April 29 - May 1

  • July 22 - 24

  • Aug 5 - 7

  • Aug 19 - 21

  • Aug 26 - 28

  • Oct 21 - 23

  • Nov 18 - 20

 

Please note: There may be additional open weekends on the Lone Rock Calendar that can be booked on a first come first serve basis but these weekends have not been secured by Pahara. If your cohort decides they would like to secure a weekend not listed above and available on the Lone Rock calendar, please email Pahara at network@pahara.org to secure the dates.

PAHARA'S HEALTH AND COVID PROTOCOLS

  • Cohorts must adhere to Lone Rock's vaccination policy and Pahara's COVID 19 practice and protocols. Pahara will continue to monitor CDC and local guidance and will finalize policies several weeks prior to your reunion.

  • Currently we are asking the following: 

    • All Lone Rock guests, including Fellows, Pahara staff, and Lone Rock staff are required to be fully vaccinated and provide proof of vaccination when they arrive onsite (hard copy, photo, digital passes are all accepted).

    • All Pahara staff and Fellows in attendance will be required to obtain a negative COVID-19 test and provide proof of the negative test result prior to arriving on site at Lone Rock or to getting into a shuttle with other Fellows.

    • All Pahara staff and Fellows in attendance will be required to take a COVID-19 rapid response test upon arrival at Lone Rock.

  • As changes will likely be necessary, we ask that you review current guidelines and again three week prior to your reunion to understand the latest policies on pre-arrival requirements.

REUNIONS BEYOND 2022

Already thinking what comes after 2022? We are too. We heard feedback from Fellows that they would like to select dates for multiple years to allow cohort members plenty of time to plan and coordinate time away from family, work and life. This summer we will share more info on how cohorts may select your multi-year reunion weekend (i.e. the last weekend of September)! Incentives and protocols will be forthcoming.

What if our Cohort wants to book reunions at another location?

Pahara’s funding only covers reunions at our new campus, Lone Rock Retreat Center. We always welcome additional Fellow-funded Cohorts reunions!

Staff Presence?

A Pahara team member will handle the welcome, directional update, and COVID check-in.
